Create the project and its stages
Start a project for the client or engagement and name the stages your work passes through, such as To Do, In Progress, Review, and Done. Set who can see it, decide whether the customer gets portal access, and reuse a template if you run the same kind of engagement often.
Break the work into tasks
Add a task for each deliverable, then split larger ones into sub-tasks so nothing hides inside a vague line item. Every task gets an owner, a deadline, a description, and its own message thread, and files or checklists live on the task itself instead of scattered across chat and email.
Plan the timeline and assign owners
Put deadlines and milestones on the calendar, assign each task to the right person, and check who is loaded and who has room. Teams on Enterprise get a drag-and-drop Gantt view for this; on Community you plan by deadlines and the calendar, or add the OCA timeline view.
Track time and collaborate
As the work happens, people drag tasks across the board and log hours against them with Timesheets. Comments, mentions, and shared files keep the discussion on the task, and the customer can follow progress and leave feedback through the portal without an Odoo login.
Invoice from timesheets and report
When a milestone is billed, turn the logged hours into an invoice through Sales and Invoicing without re-entering anything. Dashboards then show hours per project, planned against actual, and margin by client, so you can see which engagements pay off and which ones quietly leak time.

The core of Project is free, and most services teams run their whole delivery on it.
Community Edition
The Community edition includes the full task engine: unlimited projects and tasks, sub-tasks, configurable stages, kanban, list, calendar and activity views, the customer portal, and reporting. Paired with Timesheets, also free in Community, it covers project delivery and billable-hours tracking for the majority of firms we set up. This is our default recommendation, and it stays at zero licensing cost as you add people.
Enterprise Edition
Enterprise adds the native Gantt view for drag-and-drop scheduling and the separate Planning app for forecasting who works on what in the weeks ahead. If your delivery hinges on rearranging a big schedule visually or planning team capacity in advance, the subscription can earn its keep. For a Community timeline instead, the OCA project_timeline module covers much of that ground for free.
